Devices / Field guide
A MacBook often becomes both an everyday mail workstation and the place where years of correspondence accumulate. That makes storage location as important as interface preference. Before reorganizing an archive or replacing a mail application, distinguish material held by the mailbox service from material stored only on the computer. Build a workflow that supports focused desktop work, occasional travel, and a later device replacement without relying on an undocumented collection of local folders.
Inventory the folders visible in your chosen application and identify which belong to connected accounts and which are local to the MacBook. Use a small test message to confirm the distinction when the interface is unclear. Pay special attention to imported archives and old account profiles. Do not remove an account simply because recent inbox messages appear elsewhere; local sent mail or older folders may need separate preservation. Write down the archive locations before starting a cleanup or client migration.
Choose a filing structure that answers recurring questions, such as which conversations need a reply and where completed project decisions belong. Test searches with a phrase from an older message and compare results across folders. Review rules that move messages automatically, noting whether they depend on the application running. Keep attachment storage intentional: a file saved into a project directory should have a clear reason and location. Organization works best when it reduces a concrete retrieval task rather than creating endless categories.
Before travel, select the conversations and attachments needed offline and test them after disconnecting. Before replacing the MacBook, preserve local-only material and verify that the retained sample opens on a separate setup. Record the account configuration instructions, but keep credentials in an appropriate secret store rather than an ordinary export folder. When the new device is ready, test incoming access, a reply, and the location of its sent copy before retiring the old machine's mailbox connection.
