Agentic Virtual Email Box

An agentic virtual email box describes a workflow that moves through several steps toward an approved goal. For example, it might identify a request, gather permitted context, prepare a reply, and present a review screen. The difficulty is coordinating those steps when information changes or execution stops partway through. Start by describing the states and transitions explicitly. This helps you decide where judgment is useful, where a deterministic check belongs, and where human authorization is required.

Describe the workflow as states

Write a short state list such as discovered, selected, context gathered, draft prepared, awaiting review, and completed. Define what evidence permits each transition and where the workflow stores that evidence. Include a state for insufficient information and another for a failure that needs investigation. Avoid treating a long conversation with the agent as the only record of progress. A separate state record makes it possible to inspect one pending request, resume work deliberately, and identify the exact stage responsible for an unexpected result.

Keep changing context visible

Decide what happens if a new reply arrives after a draft is prepared, if the intended recipient changes, or if an attachment is replaced. For consequential actions, confirm that the reviewed proposal still matches the relevant conversation and authorized objective. Mark outdated proposals clearly and request fresh review when material details change. Limit how much additional context the workflow may gather on its own. If the task cannot be completed within that boundary, present the missing information and the proposed next step to an authorized person.

Reconcile interruptions before continuing

Record action identifiers, attempts, and observed outcomes so the workflow can investigate an ambiguous result. A timeout should lead to a status check or a pause when the previous action may have completed. Set limits for retries, elapsed work, and the amount of new material examined. Test an interruption immediately before and after a harmless action. The operator should be able to tell what happened and choose a next step without relying on the agent to invent a coherent story about an incomplete execution record.
